Wilow – Privacy Policy

Last updated: 2024

This Privacy Policy explains how Wilow ("we", "us", "our") collects, uses, shares and protects information when you use the Wilow mobile app and related services. We aim to comply with UK and EU data protection rules, Apple App Store review guidelines, and Google Play user data and safety requirements.

1. Information We Collect
We collect information to operate Wilow, personalise your experience, keep the platform secure, and meet our legal obligations. The data we collect falls into the categories below.
1.1 Information You Provide
This may include: (a) email address and basic profile information from Apple Sign‑In or Google Sign‑In; (b) display name and optional profile details you choose to add; (c) series and other content you upload if you are a creator; (d) messages or information you send to our support channels; and (e) your choices about consent, such as ad and analytics preferences.
1.2 Information Collected Automatically
When you use the app, we automatically collect certain device and usage data, such as IP address, device model, operating system version, language, app version, crash logs and diagnostics, general app interactions, watch history and engagement analytics, approximate region or country, and push notification tokens. This information is used to deliver core functionality, improve performance, keep the service secure, and understand how the app is used.
1.3 In‑App Purchases and Transactions
If you make purchases (for example, virtual coins or subscriptions), Apple or Google will process your payment information. We receive limited details such as confirmation that a transaction was successful, purchase history related to your account, and the country and currency used. We do not store full payment card numbers; those are handled by Apple or Google in accordance with their own policies.
1.4 Creator‑Specific Information
If you choose to upload content as a creator, we collect and process information such as videos, thumbnails, scripts, titles, descriptions and other metadata, as well as identifiers from our video provider and basic performance analytics. For payouts and compliance, we may work with payment partners like Stripe, who collect and store identity verification and banking details in line with financial regulations.
1.5 Advertising and Analytics Data
When ads are shown, advertising partners such as Google AdMob may collect information like IP address (for fraud prevention), device information, basic interaction with ads and approximate location. In UK and EU regions, ads are non‑personalised unless you have given consent for more personalised use of data. You can change your preferences where consent tools are provided.
1.6 Cookies and Similar Technologies
Services we rely on, including Firebase, Stripe, Google, and our video or analytics providers, may use cookies, SDKs or similar technologies to support authentication, analytics, security, fraud prevention and payment verification. These technologies help the app function correctly and are used in line with applicable platform policies and law.
2. How We Use Your Information
We use the information we collect to: (a) operate and maintain the app, including account creation, login and content streaming; (b) remember your watch history and provide basic recommendations; (c) process purchases and manage virtual items; (d) monitor performance, detect crashes, prevent fraud and abuse; (e) support creators and calculate earnings; (f) send optional push notifications if you have enabled them; and (g) meet legal, tax and reporting obligations.
3. Legal Bases (UK/EU GDPR)
Where GDPR applies, we process personal data on several legal bases: (a) contract necessity, to provide the service you request, such as login, streaming and purchases; (b) our legitimate interests, for example to maintain security, prevent abuse, perform analytics and improve the service, in a way that respects your rights; (c) your consent, where required for personalised advertising, certain analytics, or push notifications; and (d) legal obligations, such as tax, accounting, fraud prevention and responding to lawful requests. You may withdraw consent at any time using the tools provided in the app or on your device, without affecting processing that has already occurred.
4. How We Share Information
We do not sell your personal data. We share information only with trusted service providers and partners that help us operate Wilow, or where required by law. This includes cloud hosting, analytics, payment and video streaming providers, and the app stores that distribute the app.
4.1 Firebase and Google Cloud
We use Firebase and related Google Cloud services for authentication, databases, analytics, crash reporting, cloud storage and messaging. These services process data on our behalf to deliver core app features, maintain security and understand performance.
4.2 Video and Streaming Providers
We may use providers such as Mux or similar services to handle video encoding, streaming and quality analytics. They receive video files, playback requests and technical data needed to deliver reliable playback.
4.3 Payments and Payouts
In‑app purchases are processed by Apple or Google, and creator payouts may be handled by payment processors such as Stripe. These providers process financial and identity data where required for payment, verification and compliance. Wilow itself does not store full payment card or bank account numbers.
4.4 Advertising Partners
Advertising may be delivered by partners such as Google AdMob, which use limited data to show, measure and secure ads. In regions where consent is required for personalised ads, you will be asked before such data is used, and you can choose non‑personalised ads instead.
4.5 App Stores and Sign‑In Providers
Apple and Google provide sign‑in, distribution and billing services. When you sign in with Apple or Google, or make purchases through the App Store or Google Play, those companies process your data in accordance with their own terms and privacy policies.
4.6 Legal and Safety Reasons
We may access, preserve and share information with authorities, regulators or other third parties if we reasonably believe it is necessary to: (a) comply with law, regulation or legal process; (b) protect the safety of any person; (c) detect, prevent or address fraud, security or technical issues; or (d) enforce our Terms of Service.
5. User‑Generated Content
If you upload comments, reviews, or series as a creator, that content may be visible to other users and may be stored and processed on servers in different countries. We may remove or restrict user‑generated content that violates our policies, legal requirements or app store rules, but creators remain responsible for the material they choose to upload.
6. International Data Transfers
Because we use global cloud and service providers, your information may be stored or processed in the United Kingdom, the European Union, the United States, and other regions where our partners operate. Where required, we rely on safeguards such as Standard Contractual Clauses, encryption and access controls to help protect data in line with applicable laws.
7. Data Retention
We keep personal data only for as long as necessary for the purposes described in this Policy or as required by law. For example, we retain basic account data while your account is active, keep purchase and transaction records for the periods required by tax and accounting laws, and store crash logs or analytics only for limited periods. If you delete your account, we may keep certain records in backups or archives for a limited time where legally required or for security and fraud prevention.
8. Your Rights (UK/EU)
If you are in the UK or EU, you may have rights to: (a) request access to your personal data; (b) correct inaccurate or incomplete data; (c) request deletion of your data, subject to legal exceptions; (d) restrict or object to certain processing; (e) receive a copy of your data in a portable format; and (f) withdraw consent where we rely on consent. You also have the right to lodge a complaint with your local data protection authority, such as the ICO in the UK or the CNIL in France. To exercise your rights, you can contact us using the details provided in the Contact section.
9. Children's Privacy
Wilow is not intended for children under 13 years of age, or any higher minimum age required in your country. We do not knowingly collect personal information from children below this age. If we learn that such data has been collected, we will take reasonable steps to delete it and may disable the account.
10. Security
We use a range of technical and organisational measures to help protect your information, including encryption in transit (HTTPS), secure cloud infrastructure, restricted access controls and automated fraud detection tools. However, no system can be completely secure, and we cannot guarantee absolute security of your information.
11. Ads, Consent and Choices
In regions where required (such as the UK and EU), you will see a consent prompt that allows you to choose whether your data can be used for personalised ads. You can usually choose between personalised ads, non‑personalised ads, or limiting ad use where such options are provided. You can also adjust certain permissions, such as notifications or ad tracking, in your device settings.
12. Third‑Party Links
The app may contain links to third‑party websites, social media pages or external content. We are not responsible for the privacy practices or content of those third‑party services, and we encourage you to review their policies before providing any personal information.
13. Changes to this Privacy Policy
We may update this Policy from time to time to reflect changes in law, technology or our services. When we make material changes, we will take reasonable steps to inform you, for example by updating the date at the top of the Policy, showing an in‑app notice, or sending another appropriate communication. Your continued use of Wilow after the updated Policy takes effect means that you accept the changes.
14. Contact
If you have questions, concerns or requests about this Privacy Policy or how your data is handled, you can contact the operator of Wilow, Omnivue Media Group Ltd, using the contact details provided in the app or on our official website.
